Educational Services Section

 

The Educational Services Section (ESS) assures every department and staff of a hundred percent (100%) support and services for the educational materials and equipment needed. Every ESS staff has clear understanding of the duties and responsibilities that support the objectives of the Center and the entire college.

This section always make sure that

1. All the instructional materials and equipment are up-to-date and are properly maintained.

2. All resources for learning are delivered in a fast and efficient manner.

3. Staff are provided appropriate training to properly operate the machines and equipment to be used in teaching

4. Materials for reproduction like handouts, training materials, test papers and others are taken with care and confidentiality and deliver to the appropriate persons in the fastest way possible.

5. Staff are dedicated to research and study additional teaching resources for the development and provide trainings in the utilization of teaching materials and equipment to every department.

ETC-ESS Services and Policy


  • Design logos
  • Posters
  • Certificates
  • Advertisements
  • Stickers
  • Booklets
  • Business cards and others.

  • All educational materials like hand outs, syllabus, quizzes and others from all academic departments are printed and photocopied here.
  • All publications of newsletters, journals, magazines, brochures, pamphlets from different departments in different sizes of paper. (A4, A3, A2, booklet sizes).
  • Bookbinding is also offered for reports and documents.
  • Printing/Plotting of big posters and different announcements for college activities are also processed.
  • Laminating of Student and Staff IDs for college activities, Trainees and other educational materials and instructions.
  • Scanning service is also offered to support staff for official documents and papers.

  • Recording of media files for educational purposes especially in English classes and examination files.
  • Copying of educational CDs and cassettes.

  • Organizing and capturing videos and photos for all college events and activities.
  • Documenting/saving all photos and videos and transferring them from camera/video to CD/DVD.

  • Managing the Advertisements/Announcements for Visual Presentation in Plasma in Main Building and Engineering Building.

  • Borrowing of equipment (laptop, projector, tripod, poster stand, portable speakers, presenters and other available equipment and materials) for learning and extra-curricular activities for students and staff.

  • All classrooms, computer laboratories and offices are now equipped with access door.
  • Staff IDs bearing the name, department and position are printed in the access card for accessing designated classrooms, computer laboratories, offices and corridors.

  • ESS coordinates with academic departments for learning resources and equipment (projector, activboard, printers, computers or laptops) needed in classrooms and computer laboratories.
  • Maintenance, upgrade and installation of the equipment used in the ESS.
  • Conduct study proposals and price study for new educational resources, facilities and equipment and communicate to different providers and companies.
  • Continue to research on new technologies in the market to improve ESS services.

  • HID proximity card, utilizes radio frequencies (RFID) or a special microprocessor embedded into an ID card.
  • Proximity card must come in contact with a reader in order to be verified to open the door.

GUIDELINES:

  1. The college staff should abide by the procedures of requesting for the Access Card.
    1. The staff will fill out the appropriate form for the request.
    2. Any request will not be considered unless all details in the form are filled out.
  2. The access card is the sole property of the staff while employed in the college and should not be lent to others. Borrowing of access card is also strictly prohibited.
  3. The staff should be responsible in taking care of the access card.
    1. If lost, the staff should report it immediately to the ESS office so the access privileges will be blocked. Failure to report within one official working day, staff will be responsible of any consequences of the illegal use of the access card.
    2. Any unauthorized access in the Access card is under the staff’s responsibility.
  4. The Proximity card for automatic access door lock issued to every staff can only be used to open corridors of the college, his/her office and staff bathrooms. The access does not include laboratories, classrooms and other offices as there are assigned staff to open for security reasons.
  5. Staff can also request for additional access privileges for the classroom and laboratories with HoD’s or HoC’s permission, however, the staff will take part in the responsibility to secure the facilities inside the classroom and laboratories.
  6. The access card should be returned to ESS before the commencement of the annual vacation and before the official day of resignation.

Teaching-learning resources include:

  • Laptop
  • Camera / Video Camera and Tripod
  • Screen for presentation
  • Presenter
  • Banner Stand
  • Portable Speaker with Microphone

GUIDELINES

  1. The college staff should abide by the procedures of Borrowing Teaching Learning Resources from ESS.
    1. The staff will fill out the appropriate form for the request.
    2. Any request will not be considered unless all details in the form are filled out.
  2. The Teaching Learning Resources borrowed from ESS will be limited to college related work only.
    1. Should not be taken outside the college unless authorized.
    2. Should returned the resource immediately after the event or class.
    3. 2.3 If evening class the resource should be returned on following day immediately.
  3. The borrower should be responsible in taking care of the said resources.
    1. If lost, the borrower is responsible to replace with the same specifications or pay the equivalent amount of teaching-learning resources
    2. ii. If damaged, the borrower is responsible to fix and if irreparable same policy for lost will apply.
  4. The Staff who borrowed should be responsible in returning the teaching-learning resources to ESS office and filled out the borrower’s form.
  5. The request on borrowing of teaching-learning resources should be at least two days prior to the day needed.
  6.  Students’ requests will not be entertained. In case the requests are related to Student Activities/Club, the respective supervisors should make the request.

The ESS general services:

  • Photocopying/Printing (Colored, Black & White) Services.
  • Scanning, laminating, CD/DVD Burning and Cassette Recording and book binding
  • Designing Posters, Certificates and Graphics
  • Posting of Announcement in Plasma
  • Technical Services for College Activities

GUIDELINES:

  1. The college staff should abide by the procedures of requesting ESS general services.
    1. The staff will fill out the appropriate form for the request.
    2. Any request will not be considered unless all details in the form are filled out.
  2. The general services of ESS will be limited to college related work only.
  3. Only authorized ESS personnel is allowed to operate the machines/equipment. If the ESS personnel is not available, the staff will leave the form in the counter and return to follow up.
  4. The following can be collected on the same day unless specified by the ESS personnel:
    1. Photocopied/PrintedMaterials.
    2. Scanned and laminated materials.
    3. Burned CD
    4. Recorded Cassette
    5. Bound materials
  5. The request on displaying announcements should be at least two days prior to the day of posting.
  6. The request on technical services should be at least 2 days prior to the day of event/activity.
  7. The request on designing/printing of graphics, certificates and posters should be at least a week prior to the scheduled event.
  8. Students’ requests will not be entertained. In case the requests are related to Student Activities/Club, the respective supervisors should make the request.

  1. The ESS is responsible to search the shortage of materials and equipment in the college through sending letter to all the departments in the college to provide a details about the equipment which are not available in there department.
  2. The ESS receives from the department for the equipments and the materials which are not available in the department
  3. After receiving the reports of shortage equipment from the department the ESS will start to analyses the equipments requirement and make the statistical. Example (No. of PC, Printer, Fax Machine, Scanner, LCD Projector … etc).
  4. After collecting the data and preparing the analysis for the equipment required ESS start to make recommendations for the College Dean to get the approval to start purchasing them.
  5. NOTE: If the equipment which required by the department are available in the store of the college. The ESS will provide it for them.
  6. After the College Dean approval. The ESS will start to contact the companies by faxing and mailing to get the quotation for the requirement.
  7. The ESS analyses the quotation which received from the companies
  8. The head of ESS discusses the analyses of the quotation with the head of ETC and HoD of Finance to choose the best and suitable price and the quality.
  9. After choosing the quotation and get the approval from the College Dean for purchasing.
  10. The ESS will submit the shooed quotation to the finance department to issue the LPO.
  11. Receive the equipment after issuing LPO and submit them to department concerned.
